How we plan?

Your Event Manager will attend the planning meetings for the event.  At the initial meeting we would:

  • Agree the critical time plan (Critical Time Plan).  This will be produced, according to the information supplied, after the meeting and forwarded to you for approval.  Whilst our role is supportive we see these meetings as an opportunity to contribute and assist with creative solutions.

  • Deciding and defining budgets – we appreciate the importance of staying within the event budget, and will work with you to ensure meticulous budget preparation.

  • Once the venue is confirmed and dates agreed for the event, we begin work on the most important document of all, the Event Operations.  This is a detailed event program, breaking down every element of the event so the venue, client and our own staff are working as a team and are fully aware of the expectations set for the event.

Once details of the program are known, we will produce our Events Operational Program which is a highly detailed briefing document containing not least, points of contact, access and set up times, timings, room layouts, catering, approved signatories, account instructions and emergency information.  It is the 'blue print' of the event - from rehearsals and setting up - through to the departure of the last guest.
The venue and all sub-contractors will work to this programme and will liaise with our designated Event Manager in charge of the event on the day.
This important document really is the key to a successful event and highlights the attention to detail and hours of planning that your event manager has poured into your event.
Throughout the planning process we’ll keep you informed every step of the way, consulting with you regularly.  Another aspect we are quite particular about is best practice for the event Risk Assessment.  We believe the health and safety of your invitees, your guests, our own team and crew is paramount.  This will take into account every elements of your event whether it’s a one day conference in city center or a seven day safari.
